Job Overview

The Event Producer leads the planning, coordination, and execution of corporate events, meetings, and experiential programs. This role is responsible for independently managing smaller-scale events while providing operational and logistical support to Senior Producers on larger, more complex programs. The ideal candidate is highly organized, proactive, detail-oriented, and thrives in a fast-paced event environment. This position requires strong communication skills, vendor coordination experience, and the ability to manage multiple priorities simultaneously.

Responsibilities and Duties

  • Independently plan and execute small-scale corporate events including meetings, receptions, activations, and internal programs
  • Support Senior Producers in the delivery of large-scale conferences, executive experiences, and multi-day events
  • Develop detailed production timelines, run-of-show documents, staffing plans, and operational checklists
  • Coordinate venue logistics, including room setups, audiovisual requirements, catering functions, signage, and branding elements
  • Manage attendee registration processes, guest communications, and on-site check-in operations
  • Serve as on-site point of contact for assigned event aspects such as registration, green rooms, gifting activations, and breakout sessions
  • Source and coordinate vendors, including décor, rentals, transportation, entertainment, and gifting partners
  • Track expenses against event budgets, maintain cost-tracking documents, and supported post-event financial reconciliation
  • Coordinate shipping and inventory management for event materials, collateral, and branded merchandise
  • Support travel logistics, credentialing, transportation manifests, and hotel room block coordination
  • Maintain organized event documentation including contracts, floorplans, production notes, and vendor contact lists
  • Troubleshot operational challenges on-site and escalate issues to senior leadership, as needed
  • Support reporting and post-event recap documentation
  • Contribute ideas for improving attendee experience and operational efficiency

Qualifications

  • 3 - 5 years of experience supporting corporate events, meetings, conferences, or experiential programs
  • Competency with office software and the ability to learn event management platforms.
  • Experience with CAD software and registration platforms a plus
  • Exceptional in oral and written communication
  • Proactive, creative, and detail-oriented with the willingness to work on-site, including early mornings and weekends, as needed
  • Comfortable supporting physical event set up, including light lifting and long periods on feet
  • Strong problem-solving skills and ability to remain calm under pressure
  • Strong multitasking abilities, with the capability to prioritize multiple projects under tight deadlines
  • Able to work efficiently both individually and with a team
  • Able to think conceptually and creatively
  • Available to travel on nights and weekends as needed, both domestic and international

Annual Salary

$80,000
